Sponsorship and “At the invitation of…”

Sponsorship

  • Sponsors of programs in the Welcome Center are responsible for all damage to the facilities, including equipment, and for more than normal custodial services, such as carpet cleaning necessitated by spilled refreshments. Sponsors are also responsible administratively and financially for the entire event, including assuming all liability. A letter from the Dean/Vice Chancellor/Division head indicating departmental sponsorship of an event must be on file before a sponsored event may take place in any shared spaces.
  • For an event to be considered sponsored by a building occupant (so that the event may scheduled up to 18 months in advance and exempt from most fees), it must be a business function of that office (i.e., it contributes to that office’s overall mission) and a staff member from that office must be present at the event. Exercise classes/activities (i.e., yoga, martial arts, and meditation) are prohibited from taking place in the Welcome Center spaces.
  • Sponsors are also responsible for alerting the conference room user/party that the user of the room is held liable for the setup of the conference room. They will be allotted a full two hours prior to the start of their event to complete setup. Sponsors may choose to perform the setup service for the conference room users, if preferred.

“At the invitation of…”

  • University departmental users may be invited to use the Welcome Center spaces, however these users will be subject to any fees that may apply as well as retain any liability that applies for their event.
  • These can only be one-time events (i.e., series events are not eligible to utilize this option) and they can only be scheduled up to three months in advance.
