Guidelines for 21 N. Park Street Building Occupants

Room Setup
- 21 North Park Street Tenants/Building Occupants are responsible for their own conference room setup.
- Occupants are given a 2-hour window prior to the start of their event to configure their setup. Sample diagrams and capacity information is found online at Welcome Center Floor Plan, Capacities, and Layouts or within the conference rooms themselves.
- Welcome Center staff are available to answer any questions you may have in regards to conference room use.
- At the conclusion of their event, 21 N. Park Street Tenants/Building Occupants are required to restore the conference rooms that have been used to their “default” setups, and will be given 1 hour after their event to do so.
- Room 1106: This conference room should be restored to classroom setup.
- Room 1108: This conference room should be restored to conference setup.
- To aid with the restoration of these rooms, diagrams are also available in the conference rooms themselves.
Food and Beverages
21 N. Park Street occupants are permitted some flexibility regarding food and/or beverages as long as all spills/messes on tables are cleaned up, garbage is disposed of properly, and floor has been vacuumed (if necessary). Specifics are outlined below.
- Catered events: Food is prepared, transported, set out and/or served by the vendor's employees by an outside licensed and insured restaurant and/or catering operation.
- All users must first attempt to use a university caterer listed below. An outside caterer is allowed only if a university caterer is not available. Written documentation of this must be provided and the caterer used must be approved by Risk Management (262-0375).

- Food that is not considered “catering”:
- Food purchased and prepared by university staff
- Prepared foods — i.e., pre-packaged box lunches, sandwiches, cheese trays, pizza — that are purchased from a licensed restaurant/caterer and served by university staff. Prepared food may be delivered by the vendor and/or picked up by university staff at the vendor’s site.
- All users must first attempt to use a university caterer listed below. An outside caterer is allowed only if a university caterer is not available. Written documentation of this must be provided and the caterer used must be approved by Risk Management (262-0375).
- Open Events: Events without a pre-determined list of attendees; i.e., event is open beyond sponsoring group.
- 50 or fewer attendees: Food must be pre-packaged (i.e., store-bought) and/or from a licensed and insured vendor. To determine whether a business is licensed and insured, contact Risk Management (262-0375). Home-prepared goods are prohibited.
- More than 50: Food must be provided by a university caterer. If a university caterer is not available (written documentation of this must be provided to the shared space administrator prior to event), an outside licensed and insured caterer is permitted. Contact Risk Management (262-0375) to determine whether a business is licensed and insured.
- Closed Events: Events with a pre-determined list of attendees; i.e., involving a specific office staff or group.
- 50 or fewer: In addition to pre-packaged (store-bought) and/or food from a licensed and insured vendor, home- prepared goods are permitted. All events that identify themselves as a “potluck” are provided with the Food Safety at Potluck Meals handout prepared by Environmental Health.
- More than 50: If not using a university caterer, you must contact Risk Management (262-0375) for special event insurance and provide proof of this prior to the event.
Alcohol Policy
All users serving alcohol are required to go through a University Caterer. The only time an outside caterer is allowed is if a university caterer is not available (written documentation of this must be provided). In addition, an alcohol beverage permit must be secured and approved by the Chancellor’s office if an outside caterer is used. Alcohol may only be served after 4:30 pm on weekdays and anytime on weekends.
